What is content management?

“Content Management” refers to the way in which web page content, the text and images, are stored within a website. To the visitor a content managed website looks no different.
The advantages are:
- quick updates from any location
- reduced dependancy on web designers to maintain your site
- complete site make overs can be made without having to re-enter the content
- sites are modular so new and complex features can be easily added.
A content management system allows a website manager to change the text on-screen, without having to learn how to use complex packages or needing to e-mail changes to a web designer. Other changes such as colour, text size, document uploads and web links can all be done using a simple on-screen editing suite.
It is our belief that your website and content is YOURS to manage and maintain, content mangement systems liberate an organisation from long-term arrangements with web designers.
Many older websites have individual pages made up of code (HTML). Such sites need complex management software (such as Dreamweaver) to maintain and update them. Changes to the page (and hence the code) can be difficult to make without expert knowledge. Many web designers offer website management and updates as an additional service.
A content management system holds the look and feel (skin) as a template (a style sheet) and adds new text and images (content) through a database. You, through the database, govern where and how the content is displayed, you manage the content and hence what each individual page displays. Variations on the look and feel, the content and the navigation are all fully configurable within the database. Any competent web designer should be capable of writing a suitable style sheet and hence allowing you to have the choice over who can re-design the look of your site.

CITA commit to:
- Assisting the client with the design process and website specification.
- Keep to appointments made with you or to arrange a mutually convenient alternative
CITA will provide or assist in the provision of:
- Provision of a Content Managed website
- Design of the look and feel of the website
- Accessibility features by agreement with the client
- Administering the transfer of domain name (if required) and other aspects of the hosting process.
- Website publication.
- Training on how to update and manage the website.
We believe that both parties should be committed to treating each other with courtesy and respecting each other’s experience within the context of our respective Equal Opportunities policies.
We ask that the completed site can be used as an example of our work and that the client assists us in the evaluation of our service through completed questionnaires and feedback sheets.
Responsibilities of client
Prior to producing a specification the client, in conjunction with CITA, needs to provide;
- A draft site map
- Design ideas for the basic layout and functions of the site
CITA need the client to identify a single decision maker who is empowered with the ability to agree the specification, final drafts and other key decisions within a reasonable time frame.
Once the specification is agreed CITA will ask the client for a deposit prior to commencing the work. Changes to the agreed specification may lead to additional charges.
The client will provide materials to assist with the design of the website at the start of the project and/or other information to facilitate additional features and functions as required. These must be provided in a suitable format for the work to proceed.
The client must own or obtain suitable permission to use all of the materials provided to CITA for use in the website, e.g. contact lists, large files, images, etc. In particular the client must have the permission to use any images of children or any copyright material.
It is the clients’ responsibility to maintain records of all administrative details of the website including usernames and passwords.
The client is responsible for the ongoing registration of the hosting and any domain name(s) linked to the site. If not already registered, these will be registered to the client at launch. Any email provision is also the responsibility of the client.
Timescale
At the start of the project CITA will agree an overall deadline with the client and set interim targets. CITA will endeavour to keep to these deadlines, however this is dependent upon the client providing the required information and materials within a reasonable timescale.
Payment
CITA ask for a 20% deposit upon the agreement of the specification with the remaining balance due on completion.
The client should note that CITA provides an estimate of cost based on our hourly rates. Although we endeavour to work within these limits there are factors outside of our control that can delay work significantly. In such cases we pass these costs to the customer.
Any changes to the design, once agreed, will be charged as an additional cost by CITA at our hourly rate.
CITA is not responsible for the ongoing cost of hosting or domain name registration of the site beyond the first year of operation.
CITA make use of open source software to power the websites. This software has no ongoing license fee, however some elements of the site may require commercial products to support them, which may attract additional on costs.
CITA reserve the right to charge for work undertaken in the event that completion is delayed by the client or by other factors external to CITA.
Ownership and copyright
The client will retain ownership of the website domain name and the hosting package.
The copyright of the site design is retained by the customer.
CITA retain copyright of any coding and templates that support the site and the original design materials.
CITA cannot be held responsible for any breaches of copyright that arise as a result of content the client adds to their site. It is the client's responsibility to ensure they have suitable permission to use any third party material.
Security
CITA advise that all clients take regular backups of their websites. CITA can provide the client with a copy of their site on CD at launch, but does not retain a copy of the client’s website beyond this.
CITA cannot be held responsible for damage to the site caused by breaches in security as a result of third party interference.
CITA advise that clients take adequate precautions to maintain the integrity of passwords and user access to their site.
Hosting and domain names
If the client chooses a third party hosting package CITA cannot guarantee that the system will be fully functional with the provided content management system.
CITA cannot transfer domain names and hosting without the permission of the registered owner and access to their username and passwords.
Warranty
CITA agree to warranty Joomla websites for a period of 6 months from the launch date. (CITA consider the training date as the “launch” of the site).
CITA warranty all other web design work such as website editing or amendments, Site Studio and/or “flat” websites for a period of 3 months
Essentially if the site breaks we will fix it. We will endeavour to answer all reasonable operational questions provided that they don’t require additional training or exceed the limits of the website system.
CITA agree to maintain the functioning of the site only during the warranty period, additional features and functions may be installed at the discretion of CITA. Additional installations, by a third party, at any time risks the integrity of the site and is undertaken at the customer's own risk. It may also viod the warranty.
The warranty is not intended to replace or augment the website training. Additional training sessions can be purchased at our standard hourly rate.
CITA do not perform upgrades to the Joomla system or associated modules once the site is completed. Such changes can create the need for additional training and/or change the procedures for adding and editing content. Any changes requested attract charges at our standard rates. CITA undertake to apply any security patches during the warranty period, beyond this it is the client’s responsibility to make sure that any security patches are applied to their site.
CITA do not warranty transferred or newly created emails as a part of the hosting package. We agree to create up to 5 emails as a part of the website setup. Any further emails and/or transfer of emails from third party systems are the responsibility of the client.
Data Protection
CITA retain “Super Admin” access rights, hosting and email account information for the duration of the warranty. We will, upon request, delete such information beyond this period.
CITA also retains hosting access and billing information for the duration of the warranty. We will, upon request, delete such information beyond this period.
CITA consider all data provided by the client as confidential, in accordance with our policies, unless advised otherwise.
